Payment and cancellation policy


This booking form constitutes a legally binding agreement. Please note that your booking cannot be confirmed until payment is received or you have supplied an official PO.

NB Attendee PO’s should be raised against UCISA Services Limited.

NB Our Terms are now payment 14 days from date of invoice.

On submission of your online form you will receive an automatic acknowledgement and an immediate email confirmation of your booking to the Attendee address provided. Joining instructions will be emailed to each delegate one week before the event. We are not responsible for the non-arrival of confirmation documents: if, by 5 days prior to the event, you have not heard from us, please contact us on 01865 283425. In the case of an event being cancelled, for whatever reason, UCISA cannot be held liable for any costs incurred (inc travel).

NB Cancellations cannot be accepted after the booking deadline but substitutions can be made at any time. No shows will be liable for the full fee.

Many of our events are recorded and the content is made available from our website. If you do not wish to be videoed, your voice recorded or your photograph taken please email admin@ucisa.ac.uk giving your name and the event you will be attending.

Overseas delegates − delegates from outside the UK who book to attend a UCISA event must pay by credit card at the time of booking.

Data Protection


The personal information you provide will be held on a database by UCISA. By registering for an event, UCISA can provide you with information relating to your booking and other services via email, telephone or fax. If you do not wish to receive this information, or appear on the delegate list, please email admin@ucisa.ac.uk. The delegate list and badges contain name, job title, institution and social media details (where supplied) only. They do not contain any other contact details. Your details may also be made available to other sector organisations such as the Jisc who occasionally seek to solicit the views of event attendees.

Event conduct expectations


All conference or event attendees are governed by their organisation's code of conduct or sexual harassment policies. UCISA staff are governed by the University of Oxford/UCISA code of conduct:

UCISA is committed to maintaining a safe, non-threatening work environment which encourages mutual respect, promotes congenial relationships and is free from all forms of intimidation or violence. We take every incident of workplace violence and harassment seriously. UCISA prohibits employees from engaging in any act, either on Association premises or during the performance of work related duties including during attendance at conferences and events. UCISA employees must not engage in intimidation, threats, hostile behaviours, physical abuse, vandalism, or other such acts, which, in UCISA management’s opinion, are inappropriate to the work environment.

Employees who experience, observe, or have knowledge of threatening behaviour are expected to immediately report this to management within UCISA. Employees are to directly contact proper law enforcement authorities if they believe a serious threat exists to the welfare of themselves or others. Retaliation against employees who report such risks will not be tolerated.
